Desktop - How to Create a New Document Type

Need a Document Type that We Don't Offer - Here's How to Add one!

1.     Expand the Administration list in the left pane outline and then expand the Document Types list. The Document Types tab appears in the right pane. There are three radio buttons in the upper left corner of the tab: Public, Workstation, and User.

 

2.     The Public radio button is selected for you.

 

3. Click the New button.

You now have access to the four tabs for Document Type configuration (General, Compression Attributes, Edit, and View). The General tab information is on top.

 

4. In the Document Type Name field type: Notepad

The name you enter in the name field does not have to match the name of the application. For example, “Word” can be used for Microsoft® Word.

 

5. Look at the Document Browser Setup area. You can use these fields to tell the system which filenames to display based on the filename extension when the Browse button is used to search for files with this document type.

 

6. For Filter Type, type: Text Files(*.TXT) Filter Type explains the type of files this Document Type can read.

 

7. For File Extension type: .txt This specifies the extension associated with this application.

 

8. Make sure Validate File before Viewing is checked. This insures that the file in your document cache is compared to the file in the repository according to its date, size, and time. If the information matches, Desktop does not need to recopy the file to the cache, and viewing the file is quicker.

 

9. Click the Compression Attributes tab.

 

10. For the File Type, select ASCII. Use ASCII for documents that are mainly text and Binary for documents with many graphics.

 

11. For the Method of compression, select Normal.

 

12. Leave Allow Override of Compression Attributes in Catalog entries as is since it is enabled by default. It gives users the ability to change the compression attributes of a document associated with this document type.

 

13. Select the Edit tab.

The information displayed on the Edit tab determines the application that should be used when a document with this document type is checked out for editing. For more information, click the F1 key or use the Help menu.

 

14. The Path field in the Command Line area indicates where to find the edit application. Use the Browse button to find the Notepad executable in the Windows directory. Once you select it, the associated path displays in the Path field. For example: C:\WINDOWS\NOTEPAD.EXE

 

15. Do not enter information in Edit Options or Working Directory.

 

16. Select the View tab to tell Desktop which application to use when viewing documents with this document type electronically. For more information, click the F1 key or use the Help menu.

 

17. Enter the path to the Notepad application for viewing documents with this document type. You can use the Browse button again.

 

18. Skip View Options, Print Options, and Working Directory.

 

19. Click Use Internal Viewer if supported so that a check mark displays.

There are two main reasons to turn this option on: if your users do not have access to the application associated with this document type or when the application does not have the capability to restrict editing or printing for viewers with view-only access.

Notepad is an example of the latter. Without this checked, any user who views a document with the Notepad document type could also print it, which could be a problem if it is a controlled document.

 

20. Skip View Only Viewer for the Notepad document type.

 

21. Click the Apply button.
